Viewing and responding to Referrals in R2D2

Referrals are only available to R2D2 users whose Role is set to Referral & Placement Coordinator or Administrator. If you need your access level changed, your Administrator can do this for you.

Viewing Referrals List

Starting from the Home Screen in R2D2; Click on the Referrals section. From this page you can see all the referrals from your organisation, as well as those Referred To your organisation.

You can click Search to filter which Referrals appear below based on any of these fields. For example, by setting the Referral Type to External DHS Non Funded, it's returned the following.

We can see that this Referral which was sent from my organisation to an organisation that isn't in R2D2, which is why the Referred To field is blank. These Non Funded Referrals don't actually go anywhere, they are simply a way of recording the referrals made outside of R2D2.

If I click Search again, change the Referral Type filter to Internal Funded, and click Go, I get the following results. Because these are Internal Referrals, they've been Referred From my organisation, to my organisation.

You don't need to respond to Internal Referrals as they get Accepted automatically, in turn creating a Placement which you will need to update.

You can also use the Referrals Search by entering your organisation into the Referred To field, setting Status to Referred and clicking Go. This will list any Referrals that have been sent to your Organisation, which currently require a response.

This one is an External DHS Funded Referral which was sent from another Organisation, to my Organisation. The Status is still in Referred which means it hasn't been Accepted or Rejected yet. It's easy to tell that I need to respond to this Referral because we can see the word "unresolved" beneath the Client's name.

In order to respond to it, first click on the Client's name to view the Referral.

Viewing a Referral

From here we can access some more information. If the Client is completely new to your organisation you can click the link alongside the Client's name to 'View Client Details". To return from this page to the Referral, just click the Back button in your browser.

We can also view any assessments that the referring organisation attached by clicking on them. Click Back to return to the Referral.

Now that we've reviewed all of the information within the Referral, we need to Respond by either Accepting or Rejecting it.

Rejecting a Referral

If a Referral is sent to your organisation by mistake, or if your organisation is unable to provide the required service to the Client, you can Reject the Referral. But before you do, click Edit and leave a brief note explaining your rationale for rejecting the referral, then click Update.

Now we can reject it by clicking the Reject button, then confirming by clicking OK.

The Referral has now been Rejected and this note will be visible to the organisation that sent the referral, so that they can understand why it was rejected, and they can then make another Referral for the client to the right place.

Accepting a Referral

To Accept a Referral once you've reviewed it, simply click the green Accept button.

This will change the status of the Referral to "Accepted", completing the Referral Process.

Accepting a Referral will also create a Placement for the Client within your organisation.

You'll then be able to view it from the Placements section, where it will begin as "Wait-listed", and will require updating.
